General Information

Model: DBS 32, 40, 72, 96 & any combination.

Software Version: All versions supported, A-II and B highly recommended. Version A will work but provides limited features. Upgrade to A-II or B for best results.

Panasonic Hardware Requirements: Receiver Card VB-43431; Ringer Generator VB-2089P; Single Line Card VB-43621. (VB-43621A can be used instead and provides LC disconnect signal.)

Notes:

Tone/Cadence Files - VoiceTrak PANA-40.DBS tone & cadence file should be used for current DBS software. Older DBS software may require the use of ACCUCALL to create a new tone and filter table.

Transfer to fax machine. The PANA-40.DBS tone table includes incoming fax detection. You may add an "X" type mailbox which transfers to a fax machine. Also add a line to the VOICE.BAT file which says: 'SET FAX_BOX=xxx' where xxx is mailbox for the fax machine. Not all fax machines send good CNG tones and will not transfer, but if fax tones are detected, the call will transfer to the extension specified in the FAX_BOX setting.


DBS Software Version

All B version software 5.03 or lower should be upgraded to 5.04 or higher to correct several bugs which relate to voice mail. Do not use version CPC-B 5.03 under any circumstances. Refer to Panasonic support for additional information on 5.03, and versions prior to 5.03.

There are subtle but critical differences in DBS software, depending upon the version number and the version date. To determine the DBS Software version from any display telephone, touch ON/OFF, CONF, 7777. You will see something similar to: CPC-B V4.02 07'93. This gives the software type, version and date.

Version A -

Older versions of A software require the first station of the hunt group to be busy for successful call forward to a mailbox. This is generally accomplished with an old SLT or a resister across the tip & ring. Upgrade the customer to newer A, or better yet A-II or B software. (Your customer is best served by A-II or B software.)
On very old versions of CPC-A software, the CF/BNA feature on the DBS may not work unless the DBS is set for Tone Calling.

Voice mail transfer key available for quick transfer to voice mail. Press VoiceMail DSS key and station DSS key, or press VoiceMail transfer key and dial the station number to quickly send caller to a personal greeting on VoiceTrak. Can forward to non-DBS numbers! Can use I boxes, etc. with DSS keys!

A2 software lists for about half the price of CPC-B software and has only a few differences:

Automated Attendant -

Should the call be controlled by VoiceTrak or the DBS?
In almost all situations, VoiceTrak should be configured for unsupervised transfers (N mailboxes). DBS CPC-B or CPC-A2 6.0 software has excellent call control and provides almost every desired integration feature. The ONLY reason we can imagine for using supervised (R mailboxes) is for call screening.

Permanent Call Forward (CPC-B 3.0 or higher)
Note: DBS manual Issue 3, July 1993 lists these options incorrectly.
FF3-(1-144)-42-(0-3): Permanent Call Forward type. Busy / No Answer (1) recommended.
0 - Permanent Call Forward OFF
1 - Call Forward - Busy / No Answer
2 - Call Forward - Busy only
3 - Call Forward - No Answer only

FF3-(1-144)-43-(100-699): Permanent Call Forward Extension. Enter the VoiceTrak pilot hunt group number.
Answer Supervision (CPC-B 5.0 or higher).
If supervised transfers must be used, this feature can speed answer detection when calls are transferred. Also requires modification to Tone & Filter file using Accucall program. This procedure is ONLY necessary if supervised (R boxes) will be used.

From attendant phone: On/Off, PROG, #94, 1, HOLD

Accucall must be modified to include a new entry. Type=OTHER, Terminating=NO, Cadence=NO, Freq1=697, Freq2=1209, PCPM Code=10, Quick Count=32ms, On Time=256ms, Off Time=0ms. Also enter 697 and 1209 in the filter file table.
VoiceTrak Transfer Key (CPC-B 6.0 or higher -- do not use in 5.0)
Used for quick transfer to personal greeting

To program: On/Off, PROG, FF key, CONF, CONF, AUTO, VoiceTrak pilot number, #, HOLD, On/Off.
VoiceTrak one-touch mailbox access key-
(CPC-B 5.0 or higher) Access mailbox with one button. Password may be included, if desired. (If the button also dials the password, security is reduced but convenience is enhanced). The button can be programmed under a FF key or DSS key. If a DSS key is used, the VoiceTrak key AND the MSGE lamp will light red when the user has a message. With an FF key, only the MSGE lamp will light. To retrieve messages, simply press the key.
Program speed dial 99 to include the codes: * + mailbox number + (password if desired).
From each phone, PROG, AUTO, 99, * + mailbox number + (password if desired), HOLD.
Program the desired FF or DSS key.

On/Off, PROG, (FF or DSS key), CONF, AUTO, (VoiceTrak pilot number), AUTO, 99, HOLD.
VoiceTrak Hunt Group
Programming may vary by version. Hunt group must be Terminal in all cases.
We suggest the VoiceTrak hunt group overflow to the attendant hunt group after 15 seconds, and that the attendant hunt group overflow to the VoiceTrak hunt group after 15 seconds. This insures incoming calls to the attendant group will be answered by VoiceTrak if the attendant is busy. It also insures that calls will start ringing to the attendant if VoiceTrak should become busy or stop functioning properly. (CPC-B 2.00 or higher)

Many VoiceTrak dealers use a consistent programming technique for each DBS/VoiceTrak combination. For example, hunt group 555 could be used as the pilot number on all systems and 566 could be the station used for all VoiceTrak modem ports.

Advanced DBS features and VoiceTrak: Why buy the best DBS software?

Attendant overflow to VoiceTrak-
If incoming calls are not answered by the attendant(s) within a few rings (we recommend 20 seconds) the call can overflow to VoiceTrak and be handled automatically. This insures incoming calls are handled in a timely manner if the human attendant can't keep up with the incoming calls.
VoiceTrak transfer key-
The attendant can press the VoiceTrak transfer key, then press a DSS key or dial a mailbox number and press release. The DBS will call VoiceTrak, wait for an answer, then send the caller to the appropriate recording. DSS keys can be assigned for "I" mailboxes as well. VoiceTrak can include directions to the office, mailing address, fax number or other frequently requested information. The attendant can press 2 buttons and release, and the caller will transfer to the information.
VoiceTrak message button-
One touch mailbox access! The user can press the VoiceTrak message button on their DBS phone to log onto VoiceTrak and retrieve their messages. If desired, this button can also be programmed with their password. Can be DSS or FF key.
Permanent call forward to VoiceTrak-
Phones can be left in busy/no answer forward to VoiceTrak at all times. (Stations can also be set to forward to VoiceTrak on busy only or no answer only conditions.) The DBS display is not affected and the DND/CF light is not lit (unlike versions prior to CPC-B 3.0 in which the display would say FWD 555 the DND/CF light would stay lit). The station can be placed in all call forward to VoiceTrak to temporarily send all calls to VoiceTrak. Starting in version CPC-B 5.0, calls will also forward to VoiceTrak when the DBS DND (do not disturb) feature is activated. (The DND key will NOT send calls to VoiceTrak prior to CPC-B 5.0!)
Auto camp-on of additional calls which then forward to VoiceTrak-
If the station is busy, and another call is transferred to the station, and the DBS is programmed properly, the additional call will ring at the station prior to forwarding to VoiceTrak. The called party can place the first call on hold and answer the second call if desired.
New AEC with LC disconnect-
It is important to disconnect VoiceTrak ports quickly when callers hang up without exiting the VoiceTrak system. Prior to VB-43621A, disconnect was provided by a busy tone. The new AEC allows even faster disconnect detection through use of loop current disconnect supervision. The DBS must have CPC-A 3.3, CPC-B 5.0 or CPC-A-II.
Muffle DTMF tones-
Older DBS versions sound DTMF tones to the calling party when external calls forward to VoiceTrak. Many callers didn't like this feature and Panasonic has removed this sound in CPC-B 5.0.

Other notes:

If using old DBS software without permanent call forwarding, be sure that the onsite administrator knows how to reprogram extensions to forward to VoiceTrak. It is easy to lose the programming at an extension if someone 'plays' with the programming buttons on the phone. (Why not upgrade?)

OLD CPC-A software bug-
If stations are forwarded to VoiceTrak with trailing digits on old A software versions, the first extension in this hunt group must ALWAYS be busy for CF/BNA to function. (If the CF/BNA feature has been implemented correctly, and if the first extension in the hunt group is not busy, the following may occur: Internal calls made to a busy extension will forward to the individual Voice Mail box but internal calls made to a non-busy extension (not answered) will never forward anywhere). The best technique is to attach a single line telephone to the lead extension of the hunt group and keep it off-hook. It's also a good idea to take the receiver off site to prevent helpful people from putting this port on-hook. Some dealers bridge the tip and ring with a resistor. Others just upgrade the software.
OLD VoiceTrak prompts - prior to Summer 1994-
Call screening with supervised transfers will not function using the OLD VoiceTrak prompts. The older VoiceTrak voice prompt 040 says, "Please touch 2 to Accept this call or 7 to Refuse it." The 7 key on the DBS activates a conference call. Record the prompt to say, "Please touch 2 to Accept this call or 3 to Forward to your voice mail." This is ONLY necessary if the customer is using Supervised transfers, Call Screening and the system shipped before the summer of 1994.
DBS Version B 2.0 and higher should include a minimum of one ML key for each trunk group to provide an additional voice path for intercom calls and additional AA transfers.(1)
Message Waiting Lights -
When an outside caller leaves a new message, the MSGE light on the DBS telephone will light. When the subscriber calls the mailbox to retrieve messages, the light will go off. The LAST VoiceTrak port should be used ONLY as a utility port and not accessed by internal users or outside callers. If the last port is always busy, the lights won't operate properly. Also note: Most customer complaints that the lights are not working properly are not caused by VoiceTrak, but other people who accidentally activate a message waiting lamp from another extension. (This is done by dialing an extension and touching the digit 2 from any DBS phone.) VoiceTrak won't turn off those lamps! Be sure the onsite administrator knows how to deactivate lights from a DBS phone! (On/Off, Auto, Flash, On/Off is the sequence to turn off message lights at a DBS Digital phone.)
DO NOT instruct the customer to press On/Off, Auto, Redial to retrieve messages when the MSGE light is on. The customer will experience call collision. The utility port will stay too busy for timely message light activity. Program an FF key to dial VoiceTrak. DBS versions CPC-A-II 3.0 and higher or CPC-B 5.00 and higher allow one button mailbox integration.

Centrex / Essex

Some offices have remote locations tied together through Centrex/Essx lines. While VoiceTrak won't monitor the progress of the call, it can transfer and release the call to the remote location. The mailbox should be set to "N" monitoring (no monitoring of the call). If the actual Centrex/Essx extension is 2345, the mailbox number should be 2345 (or any other number) and the extension number should be 87,2345. The result: The caller hears the main salutation and dials 2345. VoiceTrak executes a hook flash and dials 87, which tells the DBS to send a hook flash to the Centrex/Essx line. VoiceTrak then dials 2345, which is the Centrex/Essx extension. The caller is transferred to the Centrex/Essx extension 2345. Those remote locations make good homes for old answering machines. (That makes it new auto attendant and old voice mail?) VoiceTrak  offers a version of VoiceTrak which provides complete integration with 1AESS through an RS-232 connection. This provides an excellent voice mail alternative for your customers using Centrex/Essx service without Customer Premises Equipment. To Program the DBS Call Forward - Busy/No Answer (CF-BNA) Feature for VoiceTrak

Each DBS station with a VoiceTrak mailbox must be programmed to send the appropriate identifying information to VoiceTrak. The is a two-step process: The station must be forwarded to VoiceTrak, and the station must be programmed to send the correct information to VoiceTrak so the caller will hear the correct personal greeting. This additional information is often referred to as 'follow-on ID' or 'trailing digits'. Once this feature is programmed it should not be necessary to program it again.

CPC-A (All) and CPC-1.0

Press ON/OFF key, PROG, AUTO, *, #

Dial individual VoiceTrak Mailbox number (Generally the extension number being programmed)

Press HOLD key, press ON/OFF key

With this version you must walk to each phone for this programming. To program single line ports you must temporarily install a digital card, program the port from a temporarily installed digital set, then replace the analog card in place of the digital card. (Why not just upgrade?)

CPC-A-II and CPC-B2.0 or higher
